2018 ART OF COOL FESTIVAL VENDOR OPPORTUNITIES

In our 5th Anniversary Year, the Art of Cool Festival is excited to offer new and bigger opportunities for vendors in beautiful Downtown Durham, North Carolina.

We are pleased to introduce an Urban Market and Beer Garden located on Blackwell Street, neighboring the Durham Bulls Athletic Park main stage venue and accessible to everyone (with or without a festival wristband) on Saturday, September 29, 2018.  We anticipate festival attendance to be a record-breaking 15,000 participants with vendors seeing a steady stream of traffic. Our vision for the Urban Market is that it will be populated with a wide and eclectic variety of creative and unique goods, services, arts and craft.  We are looking forward to providing the community and Art of Cool Festival attendees with a place where music, artisans and coolness converges.

Vendor applications will be juried.

URBAN MARKET

Each vendor space is 10’x10’ and includes tent.

Tents are mandatory and the responsibility of the vendor (must be weighted for safety).  Tables, chairs and any additional displays/shelving units/chairs/table cloths, etc. are the responsibility of the vendor.

Tent, Tables and Chairs can be provided upon request (additional fees apply).

Beer Garden spaces are very limited and most spaces are reserved for Festival Sponsors and/or Partners.  If you’re interested in more information about being a Beer Garden vendor, please email vendors@aocfestival.com.

FOOD TRUCKS

In addition to the Urban Market on Blackwell Street, we will again have opportunities for Food Trucks in multiple locations and time slots around the downtown festival footprint.  Please note, we will not be accepting food vendors that do not operate out of a food truck.

APPLICATION GUIDELINES AND FEES

 

APPLICATION DEADLINE IS WEDNESDAY, September 5, 2018.

Non-Refundable Application Fee required at the time of application.

Vendors will be notified of acceptance or rejection by Monday, September 10, 2018 at which time applicable fees must be paid by Friday, September 14, 2018.

Accepted vendors will receive booth location and load in/out instructions upon receipt of payment.

If selected, you may not sell your space or share it with a non-registered vendor. Work of only one vendor may be displayed in one booth. Work produced by a two-person team is considered as a single vendor. There is a limit of two media per booth.

Urban Market Vendors are expected to stay open for the duration of the market.

Food Truck Vendors are expected to remain for the duration of the assigned time slot.

VENDOR FEES AND PAYMENT SCHEDULE.

$25.00 Non-refundable Application Fee

Due with Vendor Application by Wednesday, September 5.

If accepted, applicable Vendor, Food Truck, and any Optional Fees due by Friday, September 14.

*Application fee will be applied towards these fees.

$300 Urban Market (10x10 Vendor Space).

Vendor must supply tent, tables, chairs and any other display materials.  Tents are mandatory and must be weighted for safety.

$300 Beer Garden (10x10 Space inside Beer Garden Area)

$300 Food Truck Space (per time slot, multiple time slots may be requested)

REFUNDS

If you are not selected as a vendor, the application fee is non-refundable.

If you are selected but decide not to participate after you’ve remitted your vendor fees, you must notify the Art of Festival Vendor Manager in writing no later than Friday, September 21, 2018 for refund of Vendor Space and Optional Fees; application fee will not be refunded.

REQUESTS FOR REFUNDS PAST SEPTEMBER 21, 2018 WILL NOT BE ACCEPTED.  Refunds will be processed by October 5, 2018.

NORTH CAROLINA VENDOR REGISTRATION AND SALES TAX

The North Carolina Department of Revenue requires that all vendors register with the NC Department of Revenue.  Vendors are required to collect and remit sales tax (unless their product provided is exempt).

You will be required to have a physical copy of your NC Certificate of Registration onsite at your booth. You must collect your own sales tax and remit same to the state.

It is the vendor’s responsibility to obtain NC Vendor Registration and Sales Tax ID.  You will need to provide a digital copy of your NC vendor registration via email and provide your Sales Tax ID to the AOC Festival Manager by September 21 (vendors@aocfestival.com).  If vendor registration and Sales Tax ID are not provided, you will not be permitted to participate onsite and festival vendor fees will not be refunded.

Vendors must also have a physical copy of NC Registration on hand at your booth.

CERTIFICATES OF INSURANCE

If accepted, you must provide proof of General Liability Insurance coverage including bodily injury, personal injury and property damage of no less than $1,000,000 combined single limit and listing the following as additional insureds for September 29.

RAIN POLICY

The Art of Cool Festival is a “rain or shine” event.  There will not be a rain date.

In the case of light rain, the Urban Market will remain open.  In the case of heavy rain or thunderstorms, the Art of Cool Festival management will decide on whether to suspend or cancel the Urban Market to ensure the safety of festivalgoers and vendors.

No refunds will be made due to inclement weather or a vendor’s decision not to participate or to leave before the end.
